SURPLUS Information and Forms

Process for Sending Books to Surplus from Teachers' Rooms

The steps below are for sending textbooks and any other books from a teacher’s classroom to surplus.

  • Teachers are responsible for boxing the textbooks and other books from their classrooms that they want to surplus, labeling each box, and sending that information to the library media teacher (LMT).
  • The LMT is responsible for tracking the total number of book boxes being sent to surplus and getting them picked up by the district.

  1. To surplus books, teachers put them into boxes. Use smallish boxes so total weight is not more than 50 lbs.
  2. For each box, tape to the front (not top or side) a completed SURPLUS tag (title, publisher, copyright date, ISBN, and # of bks). If the box contains more than one title, use the SURPLUS TEXTBOOK FORM instead of the SURPLUS tag and list each title separately. (Click on the link above to print out tags; follow the directions below to print out Surplus Textbook forms.)
  3. Send a copy of each SURPLUS tag and SURPLUS TEXTBOOK FORM to the library media teacher (LMT). You can type up the info from all your tags and forms into one document and send that to the LMT electronically or on paper. Otherwise, make a copy of each tag and form and send those.
  4. Once the LMT receives a list of tags from a teacher, she will ask the custodians to pick up the boxes and take them to the surplus room.
  5. Periodically, depending on the need, the LMTS will start the process required to schedule a district pickup of book boxes from the surplus room.

SURPLUS TEXTBOOK FORM Use this form for boxes of textbooks and books from classrooms that contain more than one title. After clicking on this link, go to Forms and then select Surplus Textbook Form. (Attach completed form to front of box, not top or side.)

Surplus tags Use these tags for surplused library media center books. (Attach to front of box, not top or side.)

Videos with a rating of PG may be shown with parental permission only. PG-13 and R videos may not be shown. Videos without a rating must be previewed first and the review kept on file.
